The Secretary of Clinical Practice & Education will provide on-site secretarial support to the managers and other education staff in the service as required. Collaboration with other administrative colleagues in the portfolio is an important aspect of this position. This role performs administrative and organizational functions to support the Education Funding Office. It includes monitoring voicemail and email, and providing the first point of contact for all education funding and bursary inquiries including the HHS Health Professional Tuition Assistance Program, HHS Staff Education and Development Fund and select hospital bursary programs. The secretary will organize and compile data for the annual disbursement reports to the funding agencies on behalf of the Education Funding Office. The secretary will also complete orientation registration in the Learning Management System and related processes for Health Professions and Nursing Orientation programs, support all types of educational events including scheduling rooms and equipment, room setup, registering learners in events, collating attendance data and assembling evaluation data. Other duties include providing central support for Career Planning opportunities for High School students, arranging committee meetings, participating in meetings, room/equipment booking, room set up, catering as required, and learner registration. Other duties as assigned.

  • Graduate of Community College Business Secretarial program or equivalent
  • 3 to 5 years experience in a secretarial role
  • Demonstrated ability to handle confidential information and apply discretion, including support of educational reimbursement processes
  • Demonstrated proficiency in the following applications: Microsoft Word, PowerPoint, Access, Excel, Outlook, Project, PeopleSoft Financials, PS Time & Labour, PS Recruitment, and Budget Tool
  • Strong administrative and organizational background with an ability to prioritize, multi-task, schedule and carry out tasks with strong attention to detail
  • Superb organization and time management skills
  • Excellent communication and interpersonal skills within a professional environment
  • Demonstrated event management skills
  • Effective and creative problem-solving abilities
  • Team player with a strong sense of ownership and accountability
  • Demonstrated ability to work independently
  • Demonstrated record in pursuing own continuing professional development

Unit Summary

Clinical Education is an integral part of Clinical Practice & Education (CP&E) within the Interprofessional Development Portfolio. The Interprofessional Development Portfolio supports professional practice across HHS by ensuring the appropriate practice standards, education, processes, systems and structures are in place. The portfolio fosters the community, regulatory bodies and academic linkages necessary to develop and sustain a quality practice environment. As part of the Interprofessional Development Portfolio, Clinical Practice & Education supports HHS staff with their education, professional development and practice needs. Services provided include staff education and development, patient education, education coordination for learners, computer systems education and hospital libraries.
